What Are Superbills and How Do I Use Them?

You may be wondering like many people looking into therapy services, can I get reimbursed by my insurance after paying out of pocket for my sessions?


The answer is, potentially.


Here’s what superbills are, and the steps to take to ensure you have all the facts about how to get reimbursed for your sessions.


1. What are they?

Superbills are documents with the information needed by your insurance provider in order to have proof and documentation of services to get reimbursed. This information is detailed and specific and will include a diagnosis code.

You will be the one receiving the reimbursement directly from your provider after you pay the therapist for the service out of pocket.

2. How do I know if I’m eligible for reimbursements?

If you pull out your insurance card and call the number on the back you’ll be able to ask your provider if they offer reimbursement for mental health services.

Sometimes there is even a separate behavioral or mental health number on the back you can call to get in touch directly.

Make sure to ask just how much you can get reimbursed for and see if there’s any specific information they need from you in order for the superbill to be accepted.


3. What do I need to send to my insurance provider?

Once you receive your superbill via email each month, all you need to do is send it to your provider from there.


4. When do superbills get sent to me?

At CAC we send Superbills at the end of each month through our EHR Simple Practice.


5. What if my provider tells me there’s not enough info included on my superbill?

Occasionally, what is provided through our EHR’s automated superbills isn’t enough information for some providers. If this is the case, you can send us an email at hello@calmagaincounseling.com with the issue and we can send you the information necessary to complete your superbill.

6. What’s the typical reimbursement rate for therapy?

Many times you can get up to 60-80% reimbursed per session depending on your insurance policy.

7. Why would my provider not accept a superbill from me?

1. It’s missing key information.

Superbills need:

  • Your identifying information (name, date of birth, etc.) and a codable diagnosis.

  • The therapist’s information, including location/address, his/her NPI (provider number), and tax ID (for tax purposes).

  • The date of service and CPT (current procedural technology – the type of service provided) code.

2. You don’t have out of network benefits

3. You have a deductible you haven’t met yet.
